| SUBJECT MATTER: |
| Receive, consider, and act upon a contract extension of the Sky Elements Drone Show Agreement (C-2024-0215A1); |
| FISCAL IMPACT: |
| Currently, there is no funding included in the 2025 budget or earmarked for future drone shows. |
| BACKGROUND: |
Utilizing the Request for Proposals (RFP) process, The Woodlands Township contracted with Sky Elements, LLC ("Sky Elements") to produce a drone show for the Township's 50th Anniversary celebration. By all accounts, the drone show was a success and included images of the 50th Anniversary logo, The Woodlands Township logo, and a collection of other scenes illustrating the community’s finest attributes. Sky Elements demonstrated they are a reliable contractor who strives to meet the needs of the community.
Section 4 of the Agreement identified an initial term of 12 months, which is set to expire in May 2025. The Agreement includes an option to extend on a 36-month basis, not to exceed two 36-month extensions. Sky Elements has indicated a willingness to extend the term of the agreement at the same initial contract price. The extension would allow the Township, if it so desires, to use Sky Elements for future shows, including the Nation's semiquincentennial (250th) Birthday in 2026 (Attachment A). Please note that execution of the Agreement extension does not obligate the Township to contract for future shows. |
| RECOMMENDATION: |
| Approve a contract extension with Sky Elements, LLC and authorize the President/Chief Executive Officer to execute all necessary documentation as approved to final form by Township legal counsel. |
